A deposit typically confirms the booking against an estimated guest count, with final numbers due by a set date before the wedding, often two to four weeks out, and the final price adjusted accordingly. Cancellation terms usually tighten as that final-numbers date approaches, since ingredients are ordered against it.
Confirm generator or gas backup for kitchen equipment during a power cut, since a mobile kitchen without one can lose an entire course. Confirm service start time relative to speeches and the programme, and confirm pack-down arrangements after the meal is finished.

How far in advance should final guest numbers be confirmed with the caterer?
Most caterers set a cutoff two to four weeks before the wedding, after which the quoted price and the ingredients ordered are based on that final number rather than an earlier estimate. Ask for this date explicitly and put a reminder against it, since missing it can mean paying for guests who do not attend or underfeeding ones who do.
Can we bring our own alcohol instead of using the caterer's bar?

What happens if a guest has an allergy we did not know about until the day?

Do we need a separate caterer if the venue already includes catering?
