How to plan wedding transport that gets every guest home safely, from rural roads after rain to the last shuttle of the night.
Wedding transport covers how people who are not staying at the venue get there and, more importantly, get home again: a hired vehicle for the couple, a shuttle for guests, or simply a clear plan for how everyone leaves safely at the end of the night.
A wedding held where most guests are staying on site, or within walking distance, may need very little of this beyond a car for the couple. A wedding on a Highveld farm an hour from Johannesburg, with guests driving out for the evening and driving home late, needs a proper plan rather than a hopeful one.

Start from how guests will leave, not how they arrive
Most transport planning happens backwards: couples think first about the car that brings them to the ceremony and only later about how guests get home after a night of drinking somewhere with no taxi rank nearby. Start at the end of the night instead. If most guests are driving themselves, decide now what happens to the people who should not be driving home.
Ride-hailing outside the cities
Ride-hailing apps work reliably within Johannesburg, Pretoria and Cape Town, and far less reliably on a farm, a wine estate or a lodge an hour outside them. Do not assume a driver will be available at midnight from a venue with patchy signal and no clear address. If ride-hailing is your backup plan for a rural venue, test it in daylight before the wedding, not for the first time at midnight.
A shuttle running on a fixed schedule between the venue and the nearest town, or between the venue and a block of accommodation, solves this more reliably than hoping enough guests can find each other a lift.
What to ask
What is the latest departure time for the last shuttle, and how is that communicated to guests on the night?
How many vehicles and how many seats, and what happens if numbers run over?
Do your drivers know the route in the dark, including any unlit or gravel sections?
What is your plan if it rains heavily on the day, particularly on any dirt road to the venue?
Can you accommodate an elderly guest who needs help getting in and out of the vehicle?
What is your cancellation and no-show policy?
Are your drivers and vehicles licensed for the number of passengers you are quoting?
How do you handle a guest who is too intoxicated to be safely dropped at an empty house?
What backup do you have if a vehicle breaks down on the night?
Contracts and logistics
Get the running order in writing: pick-up points, timing, the last departure, and what the driver does if a guest is not there when the shuttle is ready to leave. A verbal agreement made the week before the wedding is not a plan a stressed coordinator can rely on at midnight.
Confirm what happens on a wet night specifically. A dirt road that is fine in April can be genuinely difficult after rain in December, and a transport provider who has not driven your venue's access road in the wet is guessing along with you.

Do we really need organised transport if most guests are driving themselves?
If your venue is more than a short, well-lit drive from where most guests are staying, yes, at least as a backup for anyone who should not drive home after drinking. A wedding on a Highveld farm at night is a different proposition from a city hotel a few streets from the ceremony. Even a simple arrangement, such as a late shuttle to the nearest town, gives guests an alternative to driving when they should not.
Can we just rely on ride-hailing apps for the night?
Within Johannesburg, Pretoria or Cape Town, often yes. Further out, on a farm, a wine estate or a lodge, availability drops sharply and can disappear altogether late at night. If a rural venue is part of your plan, test ride-hailing from that exact address in daylight before the wedding, and treat a shuttle or a booked driver as the actual plan rather than the backup.
What happens if it rains heavily on the day?
Ask your transport provider directly how they handle your venue's access road in wet weather, particularly if any part of it is unsealed. A road that is straightforward in dry conditions can become genuinely difficult after rain, and a provider who already knows the route is a better sign than one who has not driven it before.
How do we plan for elderly guests who cannot manage a shuttle easily?
Say so directly when you book, and ask what the provider can offer: a lower step into the vehicle, help getting in and out, or a smaller car arranged separately rather than a full shuttle. Most transport providers can accommodate this if they know in advance; it is the surprise on the night that causes problems, not the request itself.
