How to arrange vetted wedding childcare properly, from background checks to a quiet room that actually works.

Wedding childcare is a supervised space, and the people to run it, for children attending the wedding while their parents are free to be guests rather than parents for the evening: typically a quiet room with activities, sometimes a dedicated area outdoors, staffed for the hours that matter most.

A wedding with few or no children on the guest list does not need this. A wedding with a genuine number of young children, particularly one running past a normal bedtime, is where a dedicated space and dedicated carers earn their place, rather than leaving parents to manage children between courses.

Ask about ratios; do not assume them

How many carers per child a provider works with varies by age group and by provider, and it is a question to put to them directly rather than a figure to assume. Ask what ratio they use for the specific ages of the children attending your wedding, and ask how that changes if the group includes both toddlers and older children.

What to ask

  1. What background checks and references do your carers have, and can we see them?
  2. What ratio of carers to children do you work with for our specific age range?
  3. What activities and equipment do you bring, and what do you need us to provide?
  4. What is your policy if a child is unwell, distressed or needs a parent during the evening?
  5. How do you handle a mixed age group, from babies to older children, in one space?
  6. What hours do you cover, and what happens if the evening runs later than planned?
  7. Where will the space be, and is it separate from the main reception?
  8. What is your policy on parents checking in during the evening?

Contracts and logistics

Confirm the hours covered and the cost of running over in writing, since a reception that runs late is common and a childcare arrangement that quietly ends early leaves parents managing tired children through the last hours regardless of what they paid for.

Agree where the room is, and walk it yourself if you can before the day: close enough that parents feel comfortable, quiet enough that children can actually rest, and clearly signed so a tired child or a searching parent can find it without asking three people first.

How many carers do we actually need?

Ask the provider directly for their recommended ratio given the specific ages of the children attending, rather than assuming a single number applies across babies, toddlers and older children. A group with a wide age range often needs more thought than a headcount alone suggests, since younger and older children need different levels of attention.

Should the childcare space be near the reception or separate from it?

Separate enough that children can actually settle and, later, sleep, without reception noise reaching the room, but close enough that parents feel comfortable and can reach it quickly. Walk the space yourself before the day if you can, and make sure it is clearly signed so a tired child or a searching parent finds it easily.

What should we tell the childcare provider in advance?

Anything that affects a specific child directly: allergies, medical needs, a usual bedtime, or anything that might unsettle them in an unfamiliar setting with unfamiliar carers. Give this to the provider ahead of the day rather than in a rushed conversation as the wedding starts, and make sure at least one carer has read it properly.

What happens if the wedding runs later than the booked childcare hours?

Agree an overtime arrangement before the day rather than discovering the childcare ends exactly when the reception is at its busiest. Ask what the provider charges for extra time and confirm it in writing, so parents are not choosing between the dance floor and a tired child late in the evening.
