How to plan and book a wedding guest shuttle that runs on a schedule guests can actually rely on.
A guest shuttle is a scheduled vehicle, usually a minibus or a small bus, that moves guests between one or two fixed points: an accommodation block and the venue, or a central pick-up in town and a venue further out. It is a narrower service than wedding transport generally, built around a timetable rather than a single hired car.
Couples with most guests staying in one or two nearby places use a shuttle to solve the whole evening in one arrangement. Couples whose guests are scattered across a city, or driving themselves anyway, often find a shuttle solves less than it promises, and a simpler plan works better.
The guidance below is about running a shuttle well: the schedule, the last departure, and what happens to the guest who is not where they are supposed to be when it leaves.

Where to go next
Gavin would rather leave a page empty than fill it with names he cannot stand behind, and checking a business properly takes time, so these pages fill slowly.
In the meantime, the guidance above is the part that helps: how to choose, what to ask, and what usually goes wrong. If you want a name, Gavin will tell you who he has worked alongside, and why.
Match the shuttle to how your guests are actually staying
A shuttle earns its cost when it replaces a genuine problem: guests without cars, a venue far from where people are staying, or an evening where nobody should be driving. It earns its cost far less when guests are scattered across a city in their own transport and the shuttle becomes one more option among several, half-used and confusing.
Fix the last departure time before anything else
Decide, before you book, when the very last shuttle leaves, and build the rest of the evening around it rather than the other way round. Guests plan their night by that time once it is announced, and a shuttle that leaves earlier or later than promised undermines the whole arrangement, including for the guests who followed the plan properly.
What to ask
How many vehicles do you run, and what is each one's seating capacity?
What is the schedule, and is the last departure fixed or dependent on how the evening runs?
How do you communicate the schedule to our guests on the night?
What happens to a guest who misses the last shuttle?
Do you charge per vehicle, per hour or per guest, and what triggers extra cost?
How do drivers know where the pick-up and drop-off points actually are?
What is your policy if a vehicle is delayed or breaks down?
Can the schedule flex if the ceremony or reception runs late?
Contracts and logistics
Put the full schedule in writing, including the first pick-up, every run in between and the confirmed last departure, and share the same schedule with your venue coordinator so the two plans do not quietly drift apart during the day.
Agree what happens on overtime before the night, not during it. A reception that runs later than planned is common, and a shuttle company charging a clear, pre-agreed hourly rate for extra time is easier to deal with at midnight than one you are negotiating with in the moment.
Checklist
Confirmed the number of vehicles against the actual guest count
Fixed and announced the last departure time to guests in advance
Shared the shuttle schedule with the venue coordinator
Agreed the overtime rate in writing before the day
Confirmed how drivers will find the pick-up and drop-off points
Decided what happens to a guest who misses the last run
Checked the plan for a delayed or broken-down vehicle
It depends far more on your guest list than on the venue. Count how many guests do not have their own transport or should not be driving home, then work out how many trips one or two vehicles can realistically make in the time available. A single shuttle running every twenty minutes often covers a smaller wedding well; a larger one may need two vehicles running at once rather than one running twice as often.
What if the reception runs later than the shuttle schedule allows?
Agree this before the wedding, not during it. Ask the shuttle company for a clear overtime rate and confirm your venue coordinator knows the plan, so a delay in the speeches does not turn into a scramble to find guests transport at midnight. Most shuttle companies can accommodate a later finish if they know it might happen.
Should the shuttle run continuously or at fixed times?
Continuous running suits a smaller guest list and a single pick-up point well, since guests simply arrive at the venue whenever they leave. Fixed times suit a larger group better, particularly with more than one pick-up point, because guests know exactly when to be ready rather than waiting indefinitely. Ask the provider which they recommend for your numbers.
Do guests need to book a seat, or can they just turn up?
For a smaller wedding with one pick-up point, guests can usually just turn up. For a larger one, or where numbers matter for vehicle planning, ask your shuttle provider whether they want a rough headcount in advance so they can size the vehicles correctly rather than guessing on the night.
The last shuttle, the last drink and the last time anyone checks a ring all happen around the same hour. Gavin can talk through what other Johannesburg weddings have done.
“I decided to get engaged while my lovely girlfriend went to the UK for a short trip and I used the time to get a ring made while she was away. Gavin and his team gave me great advice and freedom. They helped me create and design my own ring, and taught me so much about the choices I have. They made the whole process a fantastic experience and I will totally send my friends back for the one on one experience.”
