How wedding accommodation and room blocks work in South Africa, including release dates and the couple's own room.

Wedding accommodation covers where guests, and the couple, sleep around the wedding: a block of rooms held at a hotel or guesthouse near the venue, and the couple's own room for the night itself.

A wedding with guests travelling from out of town, or a venue some distance from where people live, usually needs a proper room block arranged in advance. A wedding where most guests live nearby and are going home that night needs very little beyond, perhaps, one room for the couple.

This page is about the practical side of that: holding rooms without paying for empty ones, the release date that determines who is still liable, and the morning after, which is easy to forget while planning everything that comes before it.

Understand what a room block actually commits you to

A room block is usually a set number of rooms held at a rate for your guests until a release date, after which unbooked rooms go back to general availability, sometimes with the couple liable for whatever remains unsold. The terms vary a great deal between properties, so read them rather than assume they work like a restaurant booking.

The release date is the detail that catches people out

Ask exactly when unbooked rooms in your block are released, and what happens to them, and to you, after that date. A block released too early leaves latecomers without rooms; one released too late can leave the couple paying for rooms nobody used. Get this in writing before you tell guests to book.

What to ask

  1. How many rooms are held in the block, and at what rate?
  2. What is the release date, and what happens to unbooked rooms after it?
  3. Are we liable for any unbooked rooms once the block is released?
  4. Can guests book directly, or do they need to go through us?
  5. What is available for the couple specifically on the wedding night?
  6. Is late check-out available for the couple or the wedding party the next morning?
  7. What is the cancellation policy for individual guests within the block?
  8. Is breakfast, or anything else, included in the room rate?

Contracts and logistics

Get the release date, the room count and any liability for unbooked rooms in writing before you announce the block to guests, and set a reminder for yourself well ahead of that date rather than discovering it has already passed.

Book the couple's own room separately and early, particularly for a wedding weekend where the property is otherwise fully booked by the block itself. It is easy to arrange everyone else's rooms and forget your own.

What is a room block, and do we need one?

A room block is a set number of rooms held for your guests at an agreed rate, usually at a property near the venue, until a release date. You need one if a meaningful number of guests are travelling from elsewhere; you may not if most guests live locally and are going home the same night. Ask your venue what they usually see for weddings of a similar size.

What happens if not all the rooms in our block get booked?

This depends entirely on the terms you agreed, which is why the release date and any liability clause matter so much. Some properties simply return unbooked rooms to general availability at no cost to the couple; others hold the couple liable for a portion of what is unsold. Confirm which applies before you announce the block to guests.

Where should the couple stay on the wedding night?

Book this separately and early, particularly if the venue's own rooms sell out as part of the guest block. Some couples stay at the venue itself for convenience, others prefer somewhere different for the first night. Either is reasonable; what matters is booking it deliberately rather than assuming a room will simply be available.

Do we have to use a hotel, or can we arrange guesthouses instead?

Either works. A cluster of smaller guesthouses near the venue can suit a wedding weekend well, particularly somewhere rural, though it takes more coordination than a single hotel block since you are managing several bookings rather than one. Weigh the extra admin against what better suits your venue and your guests before deciding.
