A wedding venue is the site itself: the building, garden, marquee or grounds, with whatever infrastructure comes fixed to it, distinct from the caterer, florist or photographer hired separately. Choosing it is usually the first booking a couple makes, since the date, guest list, style and budget mostly follow from what the site can hold.
A venue is worth the time, because a wedding can survive a mediocre supplier elsewhere, but one that cannot seat your guests, has no rain plan, or has no power backup on the night is a problem nothing else fixes on the day.
Not every wedding is booked at a commercial venue: a private home or family garden serves the same purpose without a contract or deposit, though the logistics of power, water, parking and weather backup still apply exactly as they do to a hired one.

See the space at the time of day, and if possible the season, you would actually use it. A garden photographed in spring bloom looks different in dry, windy months, and a hall reading as elegant empty can feel crowded once tables, a dance floor and a band are added.
Judging the site rather than the photographs
Walk the bathrooms against your actual guest count, not the venue's largest advertised capacity, and ask what has changed since the site's own photographs were taken. Ask specifically about standby power rather than assuming it exists: a generator sized for the kitchen differs from one sized for the dance floor and sound system together.
Without a directory of names, ask the venue for two recent couples you can contact directly, and read what its own published material says about capacity, catering policy and curfew rather than trusting a verbal answer on a walk-through. A written answer that later contradicts the contract is worth more than a confident one given in person.
Match the site to your guest list and season before you match it to budget. A room comfortable at eighty guests can feel wrong at a hundred and fifty, and a beautiful outdoor site needs a genuine indoor fallback that holds your entire guest list, not a smaller room sized for optimistic weather.
What to ask
What is the seated capacity, and is the dance-floor capacity a separate, lower figure?
If the outdoor space cannot be used, which indoor room do we get, and does it hold everyone?
Can we bring our own caterer, or must we choose from an approved list?
What is the alcohol policy, and do we need our own licence or does the venue hold one?
Is there standby power for the whole event, not only the kitchen, during a power cut?
Is there on-site or nearby accommodation, and is any of it included in the booking?
What is the noise curfew, and is there an additional cost for extending it?
What parking and guest transport arrangements does the venue actually provide?
Contracts and logistics
Most South African venues take a deposit to hold the date, with the balance due on a schedule set out in the contract, often with a final instalment close to the wedding once guest numbers are confirmed. Cancellation terms typically tighten the nearer the date gets, and a postponement is usually easier to negotiate than a cancellation.
Ask specifically what substitute you get if your chosen space becomes unusable: the same capacity indoors, or a smaller room. Confirm the exact hours included, what time the venue must be vacated, and what happens to hired items left behind after the curfew, since pack-down after a late finish is a common source of disputes.

How far in advance should we book a wedding venue in South Africa?
Popular venues and dates, especially cooler-month weekends, are often booked a year or more ahead, though a weekday or off-season date can sometimes be secured with far less notice. Start with your must-have date and guest count rather than a season, since fixing the date first narrows the search considerably faster.
Can we bring our own caterer to any venue?
Not always. Some venues cook in-house and will not allow an outside caterer, others hold an approved-supplier list, and some are genuinely open. Ask this before you fall in love with a site, since it can rule a favourite caterer out entirely or add a fee you had not budgeted for.
What happens if load-shedding hits during the reception?
It depends entirely on what standby power the venue actually has, and for what. Ask whether generator or inverter capacity covers lighting, sound and the kitchen together, or only one of those, and ask to see it demonstrated rather than take a brochure's word for it.
Is a venue with a garden and an indoor hall better than choosing just one?
Having both is usually worth more than either alone, because it gives a genuine weather fallback rather than a tent as an afterthought. Confirm the indoor space actually holds your full guest list at your table layout, since a fallback that cannot seat everyone is not really a fallback.
